Report Purpose

This report identifies secondary students who may need additional support to stay on track for graduation. It combines academic performance, attendance, and behavioral data to create a comprehensive watch list.

Parameters

Required Parameters

  • Snapshot Date: The date through which data should be calculated (format: YYYY-MM-DD)

  • School Names: Select one or more schools to include in the report

  • Grade Levels: Select grade levels to include (typically "09" for 9th grade)

  • Mark Types: Choose which grade types to analyze:

    • Final: Final semester/quarter grades only

    • Current: Current progress grades only

    • Both: Include both final and current grades

Report Output

The report provides the following information for each student:

Student Demographics

  • Name & ID: Student's last name, first name, and student ID

  • Current School: School where student is enrolled

  • Grade Level: Current grade level

  • Homeroom/Advisory: Student's homeroom or advisory teacher

  • Demographics: Gender, federal race ethnicity

  • Program Participation:

    • ELL (English Language Learner)

    • IEP (Special Education)

    • 504 Plan

    • TAG (Talented and Gifted)

    • HUA (Homeless/Unaccompanied)

  • FTE Value: Full-time enrollment equivalent

Academic Performance

  • Credits Earned: High school credits earned to date

  • Credits Attempted: High school credits attempted to date

  • D & F Grades: Total number of D and F grades received

Attendance Metrics

  • Attendance Rate: Percentage of days attended (snapshot to date)

  • Tardy Count: Total number of tardies (snapshot to date)

Behavioral Metrics

  • Total Incidents: Number of discipline incidents

  • Detentions: Number of detentions assigned

  • In-School Suspensions (ISS): Number of ISS incidents

  • Out-of-School Suspensions (OSS): Number of OSS incidents

On Track

  • Grade 09: Yes, if credits earned >= 6 after the end of the school year or >= 3 between the midpoint and end of the school year.

  • Grade 10: Yes, if credits earned >= 6 after the end of the school year or >= 9 between the midpoint and end of the school year.

  • Grade 11: Yes, if credits earned >= 6 after the end of the school year or >= 15 between the midpoint and end of the school year.

  • Grade 12: Yes, if credits earned >= 24 after the end of the school year or >= 21 between the midpoint and end of the school year.

These criteria are based on ODE graduation requirements.

How to Use This Report

  1. Set Parameters: Choose your snapshot date, schools, grade levels, and mark types

  2. Review Results: Students are sorted alphabetically by last name

  3. Identify At-Risk Students: Look for students with:

    • Low attendance rates

    • High tardy counts

    • Multiple D/F grades

    • Behavioral incidents

    • Low credit accumulation

Notes

  • All metrics are calculated from the beginning of the school year through the snapshot date

  • Students must be enrolled at the selected schools on the snapshot date to appear in the report

  • Credits shown include only high school credit-bearing courses
