Configure the Synergy Organization Hierarchy

The Oregon Data Suite uses the organization hierarchy configured in Synergy SIS to help categorize schools correctly. Districts should organize their schools into meaningful groups—such as Elementary Schools, Middle Schools, High Schools, K–8 Schools, or other appropriate school types—rather than placing every school directly beneath the district.

If the organization hierarchy is not configured, the school category will be derived from the grade levels of the students currently enrolled in the school. For example, a school that has 9th, 10th, 11th, and 12th graders enrolled would be categorized as a “High School”.

Synergy supports this type of structure by allowing districts to create organizational groupings beneath the district and then place individual schools within those groups. The Synergy documentation specifically describes using organization levels to group schools by type, such as elementary and secondary schools.

Create the School Groupings

In Synergy SIS:

  1. Navigate to Synergy SIS > System > Setup > Organization.

  2. Select the district at the top of the organization tree.

  3. Click Actions and select Add new Organization.

  4. Create an organization for each school category needed by your district. For example:

    • Elementary Schools

    • K–8 Schools

    • Middle Schools

    • High Schools

  5. Enter an Organization Name and any other information required by your district, then click Save.

Synergy identifies this second level of the hierarchy as a place where schools can be grouped—for example, an Elementary Schools organization in a larger district.

Assign Schools to the Correct Organization

Each school should then be placed beneath the organization that represents its school type. If a school already exists directly beneath the district or beneath the wrong organization, you do not need to recreate it.

To move an existing school:

  1. Navigate to Synergy SIS > System > Setup > Organization.

  2. Select the school in the organization tree.

  3. Locate Parent Organization.

  4. Select the appropriate organization, such as Elementary Schools, Middle Schools, or High Schools.

  5. Save the change.

Changing the Parent Organization moves the school within the Synergy organization hierarchy.

For example, the Synergy documentation shows a hierarchy similar to:

District
├── Elementary Schools
│ ├── Elementary School A
│ └── Elementary School B
├── Middle Schools
│ └── Middle School A
├── High Schools
│ ├── High School A
│ └── High School B
└── K-8 Schools
    └── K-8 School A

Why This Is Important

The Oregon Data Suite relies on this hierarchy to categorize schools appropriately. Creating clear school-type organizations in Synergy and assigning each school to the correct parent organization helps ensure that schools are represented in the appropriate categories throughout the Oregon Data Suite.
