Synergy/Edupoint Attendance Reports
Below is a list of Synergy reports needing to be run every night that school is in session to keep attendance up to date in the Oregon Data Suite. These reports produce attendance and FTE data needed by the Oregon Data Suite builds. These must be scheduled early enough to be completed before the database backups begin at Edupoint.
Important for districts to check the following:
The ATD807 report and ATD616 report should run after the Mass Change Attendance process.
The report setups need to be adjusted each school year. Make sure to set the report start and stop dates to align with current school year.
No filtering is needed for the STU806 report, but make sure it exports as a TXT file.
If a secondary-level school (i.e. middle/high school) uses the Synergy master schedule builder it may result in school calendars with no period rotations defined. Districts will need to go in and update the school calendars to add the period rotation for each day on the calendar. This is necessary for the ATD616 report to correctly report the PERIODS_SCHEDULED.
All three reports (ATD616, ATD807, and STU806) should finish by midnight to ensure updated attendance data is sent to ODS each night. Please schedule these jobs at a time that will allow them to complete by midnight (e.g., 11:00 pm).
Attendance Reports:
ATD616
ATD807
STU806 export to TXT file
Districts must set up 3 attendance jobs, ATD616, ATD807, and STU806 in Synergy. Make sure the STU806 is set up to export as a TXT file.
Below are the instructions for setting up the ATD616 report in Synergy. It’s a similar process for the ATD807 and STU806 reports. All 3 need to be set up.
Open ATD616 (Synergy SIS > Attendance > Reports > Summary)
Check the "Run for all organizations in the district" in the Options tab
Go to the Advanced tab and change the Schedule Task drop-down to weekly:
Set the Start Time, Start Date & Stop Date (we used 5:00 pm, the current date, and 6/30 of the current school year).
Change the Scheduled Task Weekly to run every 1 week on M-F.
Expand the Notification area and enter the email address of the SIS administrator to whom the results will be sent.
Click Print to schedule the job, you should be able to see the scheduled job in the queue.
