Graduation Coach At Risk Watchlist

Report Purpose

This report provides a consolidated student risk-monitoring dataset for graduation coaches, counselors, and intervention teams.

The report combines attendance, academic performance, behavior, enrollment, and program participation metrics into a single student-level watchlist organized by academic term.

The report supports:

  • Identification of students at risk of not graduating

  • Early intervention planning

  • Progress monitoring across grading periods

  • Attendance and behavior trend analysis

  • Academic performance monitoring

  • Student support and case management workflows


Report Output Format

Output Structure

Grain: One row per student per academic term

The report includes:

  • Student demographic information

  • Enrollment and program participation indicators

  • Attendance metrics

  • Academic performance metrics

  • Discipline and behavior metrics

Ordering

Results are ordered by:

  1. Student last name

  2. Student first name

  3. Grade level

  4. Term code


Parameters

Required Parameters

School Year

Defines the academic year used for all attendance, marks, behavior, and enrollment calculations.

Schools

Select one or more schools to include in the report.

Mark Types

Defines which grading records are included in academic calculations.

Example values:

  • Final

  • Period

Start Date

Defines the beginning of the reporting window used for attendance and term calculations.

End Date

Defines the end of the reporting window used for attendance and term calculations.


Data Included

Student Population

The report includes students who:

  • Are enrolled during the selected school year

  • Attend one of the selected schools

  • Have qualifying attendance, enrollment, or academic records

  • Meet applicable security and permission filters


Data Domains

1. Student Demographics

Includes:

  • Student ID

  • Student name

  • Grade level

  • Current school

  • Diploma type

  • Homeroom or advisory teacher

  • FTE value

2. Program Participation Indicators

Includes active participation flags for:

  • English Learner (EL)

  • Special Education (SPED)

  • Section 504

  • Talented & Gifted (TAG)

  • Migrant Education

  • Indian Education

  • Title I

Values are normalized to:

  • Yes

  • No

3. Attendance Metrics

Attendance metrics are calculated by academic term.

Includes:

  • Total instructional days

  • Days present

  • Attendance rate

  • Tardy count

  • Excused absences

  • Unexcused absences

Attendance Rate Calculation

Attendance rate is calculated as:

Days Present / Total Days

4. Academic Metrics

Includes:

  • Cumulative GPA

  • Cumulative earned credits

  • Total A grades

  • Total B grades

  • Total C grades

  • Total D grades

  • Total F grades

GPA Logic

The report uses the most recent cumulative GPA recorded within each academic term.

Credit Calculation

Cumulative credits are calculated using earned high school credit records up to the latest mark date for the term.

5. Behavior Metrics

Includes:

  • Total discipline incidents

  • Total detentions

  • Total in-school suspensions (ISS)

  • Total out-of-school suspensions (OSS)

Behavior incidents are grouped by academic term.


How to Use This Report

1. Set Parameters

Select:

  • School Year

  • Schools

  • Mark Types

  • Start Date

  • End Date

2. Run Report

Generate the watchlist dataset.

3. Review Student Risk Indicators

Use the report to identify students with:

  • Low attendance rates

  • High tardy counts

  • Failing grades

  • Low GPA

  • Low credit accumulation

  • Frequent discipline incidents

  • Multiple support program indicators

4. Prioritize Interventions

Use combined metrics to support:

  • Graduation coaching

Notes

  • The report produces one row per student per academic term

  • Attendance, behavior, and academic metrics are term-aligned

  • GPA values reflect the latest available cumulative GPA within the term

  • Credits are cumulative through the latest mark date

  • Program participation includes active memberships only

  • Homeroom/advisory assignments are derived from schedule data

  • Results reflect current permissions and available data at runtime
