Monthly Attendance Report (Cumulative)

Reports → Attendance → Monthly Attendance Report (Cumulative)

Report Purpose

The Monthly Attendance Report (Cumulative) provides a cumulative view of student attendance across the school year. It is designed to help schools and districts monitor attendance patterns, identify students and student groups with lower attendance rates, and compare current-year attendance with the same point in the previous school year.

Monthly attendance values are cumulative. Each month reflects attendance from the beginning of the school year through the latest attendance date available for that month, rather than attendance for that month alone. The report uses the student’s attendance rate from the latest available attendance record within each reporting period.

Parameters

Required Parameters

School Year
Select the school year to analyze.

Schools
Select one or more schools to include in the report.

The report is limited to students and attendance records associated with the selected schools.

Student Filters

The report supports the standard Oregon Data Suite student filtering options. Applied student filters determine which students are included in the report population, subject to the user’s data permissions.

Report Output

The report contains two primary sections:

  1. Student-level attendance detail

  2. Attendance distribution summaries

Student-Level Detail

The student detail section includes:

School
Student’s current school.

Grade
Student’s current grade level.

Student ID
Student identifier.

Student Name
Student name.

Homeroom
Student’s current homeroom teacher.

Home Language
Student’s home language.

Gender
Student gender.

ELL
Indicates whether the student is identified as an English Learner.

SpEd
Indicates whether the student is identified for Special Education.

Federal Race/Ethnicity
Student’s federal race/ethnicity classification.

Reporting Period
The school year or month associated with the displayed attendance value.

These demographic and student attributes are included in the report dataset along with each student’s attendance information.

Attendance Rate

The report displays each student's cumulative attendance rate for the selected reporting period.

For monthly reporting periods, the report uses the attendance rate associated with the student's latest available attendance record in that month. Because the underlying attendance rate is cumulative, the displayed value represents the student's attendance through that point in the school year rather than attendance during that month only.

For the current school year, future months are excluded.

Attendance Rate Change

Attendance Values may include a number in parentheses. This indicates the change for that month/year from the previous year. For example, if the October column showed “93.4% (-1.5%) ↓” that would mean the student’s attendance in October for the previous year was 1.5% higher than the current year.

Attendance values may also include a directional indicator:

  • ↑ Attendance rate increased

  • ↓ Attendance rate decreased

  • → No change

For monthly values, the comparison is made against the same month in the previous school year, not against the immediately preceding month.

For example:

  • October 2026 is compared with October 2025.

  • January 2027 is compared with January 2026.

The report calculates the difference between the current attendance rate and the corresponding attendance rate from the previous school year.

If no previous-year attendance value is available for comparison, a change indicator is not available.

Attendance Distribution

The summary portion of the report groups students into attendance-rate bands:

Attendance Rate

Category

95.0–100%

Highest attendance range

90.1–94.9%

90% or greater attendance

85.0–90.0%

Below 90% attendance

80.0–84.9%

Lower attendance

<80%

Lowest attendance range

Total

Total students in the group

The color-coded legend at the top of the report corresponds to these attendance ranges.

These bands provide a quick way to see how students are distributed across attendance levels and to identify populations with greater numbers of students below expected attendance levels.

Student Group Breakdowns

The attendance distribution is summarized for several student populations.

Total Population

Displays the attendance-rate distribution for all students included in the report.

Federal Race/Ethnicity

Breaks attendance results out by federal race/ethnicity.

Grade

Breaks attendance results out by student grade level.

Economically Disadvantaged

Displays attendance results for students identified as economically disadvantaged.

Special Education

Displays attendance results for students identified for Special Education.

English Learners (ELL)

Displays attendance results for students identified as English Learners.

TAG

Displays attendance results for the TAG focal group as configured in the report.

Reporting Periods

The report includes both school-year and monthly reporting periods.

Monthly periods are generated for August through June. The current school year only includes months that have reached their applicable reporting date.

The report also creates school-year summary periods for:

  • The selected school year

  • The previous school year

For an active school year, the current-year summary is limited to the latest attendance date available for the selected schools rather than extending into future dates.

How to Use This Report

Set Parameters

Select:

  • School year

  • One or more schools

  • Any applicable student filters

Review Student Attendance

Use the student-level section to review cumulative attendance for individual students.

Pay particular attention to:

  • Students below 90%

  • Students moving into lower attendance ranges

  • Differences between the current year and the same point in the previous year

Review Attendance Distribution

Use the summary tables to determine how students are distributed across the attendance-rate bands.

The color coding makes it easier to identify concentrations of students with lower cumulative attendance rates.

Compare Student Groups

Review differences by:

  • Race/ethnicity

  • Grade

  • Economic disadvantage

  • Special Education

  • English Learner status

  • TAG

This can help identify attendance patterns that may affect particular student populations.

Use the directional indicators to compare current attendance performance with the corresponding period in the previous school year.

An upward arrow indicates that the current cumulative attendance rate is higher than the corresponding prior-year value, while a downward arrow indicates that it is lower.

Notes

  • Monthly attendance values are cumulative, not discrete monthly attendance rates.

  • Monthly values reflect attendance from the beginning of the school year through the reporting point represented by that month.

  • The report uses the latest available attendance record for each student within each reporting period.

  • Trend indicators compare the current period with the corresponding period in the previous school year.

  • Only students who meet the selected student filters and the user’s data permissions are included.

  • School selections restrict the attendance records included in the report.
