Reports → Attendance → Monthly Chronically Absent Report (Discrete)
Report Purpose
This report provides a monthly view of student attendance and chronic absenteeism rates across schools and student groups. It is designed to support monitoring of attendance trends over time, identify populations with elevated absenteeism, and inform interventions at the school and district level.
The report displays attendance metrics by month, including rates, counts, and month-over-month changes.
Parameters
Required Parameters
School Year
Select a single school year to analyze attendance.
Schools
Select one or more schools to include in the report.
Date Range
Define the reporting window (typically aligned to the school year). Monthly values are calculated within this range.
Program Subtypes (Focal Groups)
Select one or more student program groups (e.g., Special Education, English Learners, etc.) to analyze.
Report Output
The report provides aggregated results at the school and student group (program subtype) level, with an additional district-level summary.
Data is presented by month (August–June), with three key metrics:
-
Attendance Rate
-
Chronic Absenteeism Proportion
-
Student Count
Each column also includes a directional column indicating the delta from the previous month:
-
↑ Increase compared to the previous month
-
↓ Decrease compared to the previous month
-
→ No Change compared to the previous month
Dimensions
Organizational Information
School
School where the student is enrolled.
Focal Group
Student program subgroup (e.g., Special Education, EL, etc.).
School Year
Academic year associated with the attendance data.
District (Summary Row)
An aggregated row representing all students across included schools.
Attendance Metrics
For each month (August–June), the report includes:
Attendance Rate
Average student attendance rate for the month.
-
Calculated as:
-
Total attended days ÷ total possible attendance days (per student, then averaged)
-
-
Expressed as a decimal and rendered as a percentage in the report
Chronically Absent Proportion
Percentage of students considered chronically absent.
-
A student is defined as chronically absent if:
-
Attendance rate < 90% for the month
-
-
Represents:
-
Number of chronically absent students ÷ total students
-
Student Count
Number of students included in the calculation for that month.
Month-over-Month Change (Delta)
Monthly rate, proportion, and count fields include a visual trend indicator comparing the current month to the previous month. An upward arrow indicates an increase, a downward arrow indicates a decrease, and a right arrow indicates no change. The underlying delta values are used only to determine the trend indicator and are not displayed directly in the report output.
How to Use This Report
Set Parameters
Select:
-
School year
-
Schools
-
Program subtypes (student groups)
-
Date range
Review Results
Data is grouped by:
-
School
-
Student group (focal group)
-
Month
A district summary row is also included for comparison.
Analyze Attendance Patterns
Use the report to:
-
Monitor monthly attendance trends
-
Identify increases in chronic absenteeism
-
Compare attendance across student groups
-
Evaluate differences between schools and district averages
Identify Trends
Look for:
-
Months with declining attendance rates
-
Increasing proportions of chronically absent students
-
Significant differences between student groups
-
Seasonal attendance patterns (e.g., dips in winter months)
Support Decision-Making
-
Target interventions for high-risk student groups
-
Evaluate effectiveness of attendance initiatives
-
Compare school performance against district trends
-
Support equity analysis across student populations
Notes
-
Attendance is calculated at the student level and then aggregated, ensuring results are weighted appropriately by enrollment
-
Monthly values are based on actual instructional days within each month
-
Only students enrolled during the reporting period are included
-
District-level results include all students, regardless of applied student filters
-
Program membership is evaluated within each month, based on active enrollment during that time
-
Delta values are calculated sequentially from the prior month (e.g., September vs. August)
-
Proportions are calculated as decimals and displayed as percentages in the report
